6.Generate and submit a performance review

    Introduction

    Once you have carried out the performance review, and completed the performance review template, you’ll need to transfer the information to manager self-service (iTrent).

    It is important to do this so that:

    • your staff member can access their review at any time through their employee self-service (iTrent) account
    • you can refer to it during the regular check-ins you hold with your staff member, and use it to discuss their progress on their goals
    • the performance review completion statistics for your team are accurate.

    What you need to do

    To transfer the information you’ll need to:

    1. Generate a new performance review form.
    2. Fill in the form, using the information from the performance review template. Make sure you save it as you go (just in case you need to return to finish it later).
    3. Submit the form once it is complete. This is an extra step after you have saved it.

    We have provided guidance on how to complete each of these steps below.

    1: Generate a performance review

    To create a new performance review form for you to complete:

    Open manager self-service (iTrent)

    Use the button below to open the application. Then log in using your username and password.

    Please note:

    We advise you to use Microsoft Edge or Google Chrome to access iTrent as other browsers may cause issues.

    Find the employee

    Select My Reportees from the menu on the right.

    Choose your team member

    Select the relevant team member from the left menu.

    Find the current performance review

    Performance review buttons

    Select the purple Performance Reviews button.

    Then select the white Performance Review button.

    From the Performance life cycles menu, select the Current performance review.

    Job title dropdown

    The Job title dropdown shows all the positions your team member holds at the council. For most employees there will only be one option.

    Select the relevant job title for your team member.

    Select the Save button.

    A page titled Performance review meeting summary will appear.

    Generate the form

    Read the information, then select the Generate button.

    A summary screen will appear with an explanation of the performance review form.

    Now you have generated the form, move to the next section called Fill in the form.

    2: Fill in the form

    Now you have generated the form, you can begin to transfer the information across from the template.

    Once you have read the summary, select the Start button.

    Complete each section

    Statements to complete

    The sections in the online form replicate the sections in the performance review template.

    Work through each section and transfer the information across.

    Please note:

    You must not use special characters or emojis within the form. This will prevent you from being able to save the form.

    We recommend that you paste any content from Word into Notepad first, and then cut and paste it into the form. This will make sure no random hidden characters are transferred across.

    Save the form

    Save button

    You can save the form at any point, just select the Save button. You do not need to have added text to all text fields to save it.

    Please note:

    The form times out after 90 minutes of no activity, so it is important that you save regularly while you are working on it. This will make sure you do not lose your work if you are distracted, such as by a phone call.

    You should also be aware that once you save the form, your team member will be able to view it in employee self-service (iTrent). Take care to only save the form when you are happy for the information to be shared.

    Select the Summary button to preview how the form will look once submitted.

    Now you can Submit the form using the instructions below.

    3: Submit the form

    Once you have filled in the form, follow the steps below to submit it. This is the final step in the process and must not be missed.

    If you are following on from the section above, go to step 2.

    If you are returning back to manager self-service (iTrent) after saving the form, start from step 1.

    Navigate to the form

    To return back to the form, follow steps 1 to 3 on Generate a performance review.

    Select the Performance Review meeting summary link in the menu.

    Select the Submit button.

    Form not submitting?

    Check that you haven’t used any special characters or emojis while completing the form.

    Confirm submission

    Ok button

    A pop up message will appear. Select the OK button.

    Please note:

    Once you have submitted the form you will no longer be able to return to edit it.

    What happens next

    When you submit the form:

    • you and your staff member will receive a confirmation email
    • the performance review is recorded as finished and added to completion stats for your team.

    If a team member is missing from the list this may be because you have only recently taken over as their manager and their profile is still assigned to their previous manager.
