2.Arrange a performance review

    Introduction

    The first step in planning for a performance review is to arrange a convenient time and place for the performance review discussion.

    On this page you’ll find guidance on when to hold the discussion, and some top tips for successful planning.

    When the discussion should take place

    The next performance review window will open early in 2027. Updated guidance will be shared shortly.

    You do not have to carry out performance reviews during this time for team members who are:

    • on long-term sick or maternity leave - they should have a review when they return to work
    • new and still on probation - instead you should talk with them about their goals and objectives in their final probation meeting so that they have direction and you should schedule a performance review within six months.

    Top tips for successful planning

    • Set your own review window

      If you’d prefer to complete all of your team’s performance reviews at a similar time of the year to make sure you carry them all out, set yourself a focused time period.

    • Choose a consistent review period

      Make sure your team have a full year to meet the objectives outlined in their performance review. You can incorporate regular check-ins to track their progress.

    • Allow enough time

      Set aside enough time to have a thorough discussion with your team member. Avoid rushing through the process and allow plenty of time for questions and feedback.

    • Be flexible

      Performance reviews can either be held in-person, or via a Teams voice or video call. Check with your team member on what they would prefer.

    • Make sure everyone is prepared

      Advise your team member(s) to prepare for their performance review by working through the steps in the performance reviews - employee guidance section. Also encourage them to gather feedback using the 360 degree feedback tool.

      Make sure you are prepared by working through the remaining pages in this section.

    • Upload the documents to iTrent quickly

      Make sure you upload each team member’s review to iTrent as soon as possible after the review so that they can refer to it. Don’t wait until you have carried out all your team members reviews.

      This will also then be available for you to refer to during check-ins and at the next review.
