3.Book an interpretation service - voice and video calls

    Introduction

    Once you have followed steps 1, 2 and 3, and identified the language that your customer speaks (if required), you can use the instructions below to book a voice or video call.

    Please note:

    If you need a interpretation either out of hours or in an emergency, these are requested in the same way as non-urgent bookings but will be given priority.

    Schedule a telephone or video interpretation

    Follow the steps below to schedule a voice or video call through the telephone and video interpreting portal.

    These instructions are based on the web version of this application. However, you can use these instructions whether you are:

    • using the web portal or mobile app (the screen layout may differ slightly)
    • accessing the voice or video call service.

    Where possible we have provided alternative instructions.

    Open the telephone and video portal

    To access the portal you can either:

    Please do not use Internet Explorer to access this application as it is not supported. If you are using a PC or laptop, please use Microsoft Edge or Google Chrome.

    Access the appointment calendar

    Access the appointment calendar

    In the left menu, select Appointments.

    (Ignore this step if using the mobile app).

    Create an appointment

    Create new appointment

    Select the Create New Appointment button.

    Make sure you allow enough time for your meeting

    You can expect it to take around 50 per cent longer with an interpreter present. Make sure you allow time for introductions too.

    Fill in the form

    Add appointment details

    Choose the relevant type from the Appointment Type dropdown.

    In the Subject field, add a title for your voice or video call.

    Use the Description field to explain the reason for the call.

    Select languages

    Select your spoken language from the first Language dropdown.

    Choose the language spoken by the customer on the second Language dropdown. Find out how to identify the language someone speaks.

    Interpretation type

    From the Service Delivery dropdown, select Local Government.

    Ignore the Service Classification dropdown.

    From the Communication Type dropdown, choose which interpretation service you need.

    Select gender of interpreter

    If you need to specify the gender of the interpreter, select the relevant option from the Gender dropdown.

    Ignore the Consumer Information section.

    Add location and times

    Ignore the Location field.

    Add the scheduling details for your meeting to the following fields:

    • date
    • time
    • duration.
    Save button

    Select the Save button in the top right hand corner of the form.

    Need to book more than one session?

    If you need more than one session for the same language, please try to:

    • book the sessions together
    • to start within 10 minutes of the previous appointment ending.

    This will help to reduce costs as the sessions can be linked and treated as one booking.

    What happens next

    AA Global will email you to confirm your booking(s).

    AA Global offer user guides on how to use the telephone and video interpreting portal, including how to:

    • join a scheduled meeting
    • mute your microphone
    • add a third party to the call
    • send a message to the interpreter
    • reconnect to the call if you get cut off.
