Introduction
If you require an ID badge for someone who is working at a council site, you can request this from our document and data processing team.
You can also order a replacement, if your:
- badge is lost or broken
- name has changed
- job title needs changing because you have a new job or there has been a restructure.
Before you start
You must provide a photograph of yourself for your ID badge. This could be:
- a digital photograph that you have taken yourself. You'll need to upload this to the form
- the photograph on your last badge. You can do this if it was taken less than two years ago and you are requesting a replacement
- a printed photograph, for example from a photo booth or photo printing shop. You’ll need to send this to us.
Temporary badges do not require a photograph. These can only be ordered by an ID badge representative.
Before you fill in the form, you must make sure your photo meets our photograph guidelines:
Postal barcode
Postal barcodes are used by despatch to recharge postage to the correct service area. Before you fill in the form, you need to find out the three digit postal barcode for your team, so:
- you can add this to the form
- your badge can be posted to you.
To find out what the postal barcode is for your team you can either contact your manager, admin team or the despatch team using the details below:
Request an ID badge
Follow the steps below to request a new ID badge.
1Open the online form
Use the button below to open the online form.
Select the Proceed button.
Then choose the ERYC staff button.
2Badge type
From the Select the type of ID badge required field, choose Staff.
3Badge owner
From the Are you (or the recipient) already an East Riding of Yorkshire Council badge holder, or is this a first badge field, if you are ordering an ID badge for:
- an existing employee, select Existing badge holder, then go to step 4
- a new employee, select First badge, then go to step 5.
If you select Existing badge holder, you will also be asked if you require a badge for an additional post.
4Current ID badge details
Enter the first and last name of the badge holder.
In the Job title field, enter the badge holder’s current job title as it appears on iTrent.
From the Directorate dropdown, select the name of the directorate the badge holder works in.
From the Section dropdown, select the correct service area for the badge holder.
Now select the reason why the badge needs to be replaced, such as change of job or lost badge.
5New ID badge details
Enter the first and last name of the badge holder.
In the Name to appear on ID badge field, type the name you want to be displayed on the badge. For example, someone’s name could be Jonathan, but they prefer to be called John.
In the Job title field, enter the badge holder’s job title.
From the Directorate dropdown, select the name of the directorate the badge holder works in.
From the Section dropdown, select the correct service area for the badge holder.
From the Work base dropdown, select where the badge holder is based.
Enter the first and last name of the badge holder’s line manager.
In the Line manager’s email field, add their email address.
Confirm the line manager’s email address.
From the Line manager’s contact details field, select the preferred method of contact.
If you select internal telephone number or external mobile or landline, type a contact number on the Contact number field.
6Your photograph
You now need to tell us how you wish to supply your photograph. Select the relevant option below and follow the instructions:
7Access required
If you need access to a council building that uses the badge entry system, for Is swipe access required, select Yes. Otherwise select No.
8Badge fastening
Your badge is normally held in a plastic holder. As you are required to wear your ID badge and have it clearly visible, you can choose a fastening that suits you. This can be a:
- clip that is attached to your badge holder and which you can then clip to your clothing, such as a trouser pocket or waistband.
- metal chain, which can be attached to your badge holder so you can wear your ID around your neck.
- lanyard that can also be attached to your badge holder and be worn around your neck.
For Preferred ID badge fastening, if you’d like a fastening select it from the list. Otherwise select None.
For Do you need a badge holder, select Yes if you would like a new plastic holder. Otherwise select No.
For the question Do you need an A5 badge, select No.
9Collection or delivery
You have the choice of collecting your badge from document and data processing at County Hall, or having it posted to your home address. The cost of postage is charged to your service area.
Collection
If you’d like to collect your badge, select Collection from County Hall (Room BG19), then go to step 10.
Delivery
If you’d like to have your badge delivered, select Posted to my home address.
If you live in the East Riding of Yorkshire, select Yes, otherwise select No.
If you selected yes, enter the postcode or street name of the address you would like the badge delivered to.
Then, select your address from the dropdown list.
If you live outside of the East Riding of Yorkshire, you will have to manually input your address.
If you are an existing member of staff add your council email address to the Your email address field or if you are a new starter add a personal email address.
Add the three digit number, you got before you started filling in the form, to the 3 digit post barcode field.
Select the Next button.


Agree to the declaration on the next page and submit the form.
10What happens next
You will receive an email when your badge has been produced to inform you that it has been sent to your home address via Royal Mail. Once you receive your badge, if you requested swipe access, contact the document and data processing team by email with the last five digits of the unique number on the back of your badge. This is so the access can be activated within 24 hours. You can:
If your badge is a replacement, the email you receive to let you know your badge has been sent out, will also ask you to confirm that you have destroyed your old badge once your new badge has been activated. To do this, you can:
