4.Personal details and manager change

    Introduction

    If any of the personal details for any of your team members changes or their reporting manager needs amending you need to follow the relevant process below.

    Name change

    If a team member changes their name it is crucial that their records are amended so they are correct and up-to-date. Their name could change for a variety of reasons, including:

    • marriage or divorce
    • personal reasons
    • religious reasons.

    Change of address

    If a member of your team changes their address this should be updated as soon as possible so that they don’t miss any important council wide communications that need to be sent through the post.

    Change bank or building society details

    To avoid issues with salary payments, we must hold the correct bank details for every member of staff.

    Change of iTrent reporting manager

    You must tell us if responsibility for one of your team members moves to another manager so their record can be updated on iTrent. This will allow the new manager to:

    • approve holidays
    • log sickness reports
    • upload performance reviews for the team member.

    What we’re doing

    East Riding Leisure offers state-of-the-art facilities as well as a range of programmes such as Live Well and Exercise on Referral to help people’s physical and mental wellbeing.

    What we’re doing

    Hull and East Yorkshire Children’s University has partnered with us to offer school pupils insights into different careers - with the aim of raising aspirations and inspiring them to achieve in education and their adult lives.

    Children from New Pasture Lane Primary School in Bridlington were given a VIP behind-the-scenes tour of Bridlington Spa and taught how to be journalists, photographers and videographers for the day, even getting the chance to interview cast and crew from the BBC charity panto being performed there.

    Change last name

    If your team member has access to employee self-service (ESS) (iTrent) and they only need to change their last name they must update this themselves and the change to their records will take effect immediately.

    Other changes or no access to iTrent

    You will need to complete the online form if:

    • a team member doesn’t have access to iTrent because of their role
    • they change more than just their last name, such as their title or first name.

    Fill in the change of details online form

    What you’ll need to provide

    The form asks you for:

    • your team member’s new title or name
    • the effective date of change
    • a document upload as evidence of the name change.

    What happens next

    If you have completed the online form:

    • this will be reviewed by people services
    • your team member’s iTrent records will be updated
    • the relevant pension scheme will be automatically updated with the changes made.

    Change address details in iTrent

    If your team member has access to employee self-service (ESS) (iTrent) they must update their address details themselves and the change to their records will take effect immediately.

    Team member has no access to iTrent

    If your team member doesn’t have access to iTrent because of their role, you must submit and change the details for them by filling in the online form.

    Fill in the change of details online form

    What you’ll need to provide

    The form asks you:

    • the effective date of change
    • your team member’s new home address.

    What happens next

    If you have completed the online form:

    • this will be reviewed by people services
    • your team member’s iTrent records will be updated
    • the relevant pension scheme will be automatically updated with the changes made.

    Move roles, teams or locations

    If you would like to change the role, team or work base location of a team member, you need to complete a preferred candidate form instead of the online form and follow the recruitment process.

    Manager change

    If your team member needs to report to a different manager within the same team you need to let us know using the online form.

    Fill in the change of details online form

    What you’ll need to provide

    The form asks you for the new manager’s:

    • email address
    • effective date of change.

    It should automatically display the new manager’s position number and job title after you’ve selected the manager.

    What happens next

    If you have completed the online form:

    • this will be reviewed by people services
    • your team member’s iTrent records will be updated.

    Change bank details in iTrent

    If your team member has access to employee self-service (ESS) (iTrent) they can update their bank or building society details themselves and the change to their records will take effect immediately.

    Team member has no access to iTrent

    If your team member doesn’t have access to iTrent because of their role, you must submit and change the details for them by filling in the online form.

    Fill in the change of details online form

    What you'll need to provide

    The form asks you for the:

    • name of the bank or building society
    • account or roll number
    • sort code
    • effective date of change.

    What happens next

    If you have completed the online form:

    • this will be reviewed by people services
    • your team member’s iTrent records will be updated
    • the relevant pension scheme will be automatically updated with the changes made.
