2.Apply for a purchase card

    Introduction

    If you are responsible for making purchases for your service area, you maybe entitled to a purchase card.

    How to apply

    Follow the steps below to apply for a purchase card.

    Fill in the application form

    To apply for a purchase card, fill in the relevant form below:

    Information you’ll need to provide

    The form will ask you:

    • to justify why you need the purchase card
    • the maximum you will spend in 1 transaction
    • how much you expect to spend in any 1 month
    • the supplier categories, also known merchant categories, that you need access to
    • the name of your director (or headteacher for a school application)
    • your default cost and detail code.

    Please note
    If you exceed a spending limit, or you make a purchase against a merchant category not available to you, the purchase will be declined.

    Approval and set up

    The completed form is automatically sent to your director (or headteacher for a school application) to be approved.

    If your director accepts your application, they will:

    • nominate a senior manager, known as an approver, to approve transactions and sign off reconciliations
    • forward your application to the purchase card admin team.

    If your director does not accept your application you’ll receive an email notification to advise you that it has been denied.

    Fill in personal details form

    The purchase card admin team will email you a form from the Royal Bank of Scotland. This will ask you for your:

    • date of birth
    • home address
    • email address
    • business telephone number
    • security password (you’ll use this if you need to contact the Royal Bank of Scotland directly).

    To return this form:

    Final authorisation

    Your request will then be sent to a finance business partner for authorisation.

    Once it has been approved, your application will be forwarded to the Royal Bank of Scotland, who will:

    • organise and send your purchase card
    • set up a user account for you, and the approver, on their secure online service called Smart Data. You will receive a notification to your personal email once this is ready to use.

    Please note
    It can take between 6 and 8 weeks for the card to be set up and sent to you.

    Getting started

    Your purchase card and PIN will arrive separately in the post.

    You can start to use your card as soon as you receive it.

    Please note
    You must keep a record of any purchases you make using your purchase card.

    Keep your card and PIN safe
    Make sure you:

    • memorise it instead of writing it down
    • do not share it with anyone else, including other members of staff
    • change your pin if you think someone has seen or knows it (you can do this at a cash machine)
    • cover your pin if you use it in a public place
    • know where your card is at all times.
